Getting Started: Onboarding & Email Warm-up Guide

Overview

Welcome to XemailCampaign! Whether you've just purchased a new domain for cold email outreach or you're exploring email marketing for the first time, this guide will walk you through the onboarding experience and help you set up your email warm-up process.

Step 1: Connect Your Sender Accounts

After signing up for XemailCampaign, your first step is to connect your email accounts:

  1. Navigate to the Email Account tab in your dashboard
  2. Click on the option to add or connect sender accounts
  3. Follow the prompts to authenticate your email accounts with XemailCampaign

Once your accounts are connected, you're ready to begin the warm-up process.

Step 2: Start Your Email Warm-up

Email warm-up is essential for building sender reputation, especially with new domains. It gradually increases your sending volume to establish trust with email service providers (ESPs) and improve deliverability.

Setting Up Warm-up

From the Email Account tab, you'll need to provide some basic information:

  • ESP Selection: Choose which email service provider you're using (Gmail, Outlook, etc.)
  • Volume Settings: Specify your desired sending volume

Two Warm-up Options

Option 1: Automatic Warm-up (Recommended)

Let our intelligent system handle the warm-up process for you. Our AI automatically adjusts sending patterns, volume increases, and timing to optimize your sender reputation. Simply select this option and let the system do the work.

Option 2: Manual Warm-up

If you prefer more control, you can configure warm-up settings manually. This allows you to set your own parameters for sending volume, ramp-up speed, and other warm-up variables.

Select Your Templates

Before starting the warm-up, you can choose from our Universal Templates feature. These pre-designed templates are specifically crafted for warm-up purposes and help establish natural email patterns.

Once everything is configured, click Save Changes to begin the process.

Step 3: Monitor Your Warm-up Progress

The Email Account tab provides comprehensive analytics to track your warm-up performance:

Analytical Reports Include:

  • Email Volume: Total number of emails being sent
  • ESP Distribution: Which email service providers are receiving your messages
  • Warm-up Status: Current progress and health of your warm-up campaign
  • Deliverability Metrics: Insights into how your emails are performing

Campaign Associations

Within the same Email Account tab, you'll find a Campaigns section that displays:

  • Which campaigns are associated with each sender ID
  • Active campaigns using specific email accounts
  • Overview of your sending infrastructure

For New Cold Email Marketers

If you're brand new to cold email marketing and have just purchased a domain, XemailCampaign is the perfect place to start. You can begin with warm-up exclusively without running actual outreach campaigns initially. This allows you to:

  • Build sender reputation gradually
  • Establish trust with ESPs
  • Prepare your domain for future outreach campaigns
  • Avoid deliverability issues from day one

Simply follow the warm-up process outlined above, and once your domain is properly warmed up (typically 2-4 weeks), you'll be ready to launch your first cold email campaign with confidence.
